Applying and Removing Tags for Files in the Document Locker

Assigning a tag to a file is a way to categorize it. You can use tags to filter the file list in Document Locker. Each file can have up to 10 tags attached to it.

You can apply tags when you upload a file to a Document Locker. You also can apply tags after upload using the procedure below.

Note: Tags must be created in the Client Collaboration Administration area before you can apply them to files. See Managing File Tags for more information.

ClosedApply tags to files.

  1. If you are not already on a Requests page, click , and then select Requests.
  2. Do one of the following on the Requests dashboard, depending on the location of the request: 
    • To open a workflow status page, click the status name or status wedge in the Request Status section.
    • To open the Reopen status page, click View reopen requests on the Reopen tile.
    • To open the Overdue status page, click View overdue requests on the Overdue tile.
    • To open the Error status page, click View errors on the Errors tile.
  3. Do one or both of the following as needed to narrow the list of requests to select from:
    • Click above the grid and select a filter set. You can also create a new filter set.
    • Enter all or part of the client name in the search box above the grid.
  4. Click in the Actions column and select View files in Document Locker.
  5. Locate the files you want to tag in the list. If needed, select options in the Filters section on the left side of the window to filter the file list.

    Note: If the Filters section does not display, click above the list.

  6. Do either of the following:
    • ClosedApply tags to a single file.
      1. Click and select Tag Files from the menu.
      2. Click into the Tags box and select a tag to add. Repeat as needed until all needed tags have been added.
      3. Click Save.
    • ClosedApply tags to a batch of files. You can both assign the same tags to a batch of files and assign tags individually to files in the batch.
      1. Select the check box for each file you want to tag. Click the check box in the header row to select all files.
      2. Click Tag Files above the list.
      3. Do one or both of the following as needed:
        • Assign the same tag for all files in the batch.
          1. Select the check boxes for the files that should have the same tags applied. Select the check box in the header row to select all files.
          2. Click Batch Assign.
          3. Select the check boxes for the tags you want to apply.
          4. Click Apply.
        • Apply different tags to individual files in the batch.
          1. Click into the Tags box for a file, and then select a tag to add.
          2. Repeat the previous step as needed until all needed tags have been added to each file.
      4. Click Save.

ClosedRemove tags from files.

  1. If you are not already on a Requests page, click , and then select Requests.
  2. Do one of the following on the Requests dashboard, depending on the location of the request: 
    • To open a workflow status page, click the status name or status wedge in the Request Status section.
    • To open the Reopen status page, click View reopen requests on the Reopen tile.
    • To open the Overdue status page, click View overdue requests on the Overdue tile.
    • To open the Error status page, click View errors on the Errors tile.
  3. Do one or both of the following as needed to narrow the list of requests to select from:
    • Click above the grid and select a filter set. You can also create a new filter set.
    • Enter all or part of the client name in the search box above the grid.
  4. Click in the Actions column and select View files in Document Locker.
  5. Locate the files you want to remove tags from in the list. If needed, select options in the Filters section on the left side of the window to filter the file list.

    Note: If the Filters section does not display, click above the list.

  6. Do either of the following:
    • ClosedRemove tags from a single file.
      1. Click and select Tag Files from the menu.
      2. Click the X on the tag you want to delete.
      3. Click Save.
    • ClosedRemove tags from a batch of files. You can both remove the same tags from all files in a batch and remove tags individually for files in the batch.
      1. Select the check box for each file you want to remove tags for. Click the check box in the header row to select all files.
      2. Click Tag Files above the list.
      3. Do one or both of the following as needed:
        • Remove the same tag for all files in the batch.
          1. Select the check boxes for the files that should have the same tags removed. Select the check box in the header row to select all files.
          2. Click Batch Assign.
          3. Clear the check boxes for the tags you want to remove.
          4. Click Apply.
        • Remove different tags from individual files in the batch. Click the X on the tags you want to delete for each file.
      4. Click Save.
